To the outside world, venue finding might sound like a simple task: browse a few websites, send a few emails, book a beautiful space, done. Easy, right?
Not quite.
Behind every successful event venue booking is a professional navigating a fast-paced world of negotiations, logistics, client expectations, and tight deadlines. As a venue finder, our job is to be both matchmaker and magician—finding the perfect space that fits the brief, the brand, and the budget.
So what does a typical day really look like? Here’s a peek behind the curtain at what you don’t see.
☀️ 7:30 AM – Early Inbox Patrol
We start early—because our inboxes fill up fast. Overnight, there might be:

New client briefs from global companies

Updates from venues on availability and pricing

Follow-ups from yesterday’s proposals

Last-minute changes to existing bookings
Before breakfast, we’ve already replied to urgent emails, confirmed site visits, and chased pending quotes. Coffee is essential.
💻 9:00 AM – Research Mode: On
When a new enquiry comes in, it’s all systems go. Every brief is different:
“We need a quirky venue in East London for 100 guests with breakout rooms and outdoor space.”
“We want a luxury retreat two hours from London with exclusive hire and spa access.”
“Can you find a venue for a product launch… next week?”
Our job is to think fast, search smart, and draw from our ever-growing network of trusted venues. We look beyond the obvious—digging into capacity charts, access details, transport links, and hidden gems others overlook.
📞 11:00 AM – Negotiating Like a Pro
Venue finding isn’t just about finding—it’s about securing. That means:

Negotiating the best possible rates

Asking the right questions: “Is there a minimum spend?”, “Can we have early access?”, “Is AV included?”

Reviewing contracts and terms with a fine-tooth comb
We aim to get our clients the most value—without compromising on quality. And yes, we know when to push (politely) and when to charm.
🚗 1:00 PM – Site Visits & Walkthroughs
Photos don’t always tell the full story. Whenever possible we visit venues or take a virtual tour with the venue manager to ensure that they deliver on what they promise. This means:

Checking lighting, acoustics, and flow of space

Looking at hidden extras (like service charges or restrictions)

Imagining how the client’s event will feel in the space
We take photos and take notes to help clients visualise the space—especially if they can’t be there in person.
🧩 3:00 PM – Shortlisting & Proposals
Back at the desk, it’s time to craft clear, tailored proposals. This includes:

A carefully curated list of venues that fit the brief

Key highlights, pros and cons

Photos, floorplans, and pricing breakdowns

Personal insights from our visits/virtual tours
We don’t just send links—we provide guidance and honest advice based on experience and relationships.
🕔 5:30 PM – Last-Minute Changes, Client Calls & Confirmations
As the day winds down (in theory), we’re often on the phone finalising bookings, reviewing contracts, and responding to urgent client needs. Timelines shift, headcounts change, and clients need quick answers. We stay agile, calm, and responsive.
