Planning a Music Event: Tips for a Successful Gig
When planning a live music event at a venue, it’s essential to gather information to ensure the performance goes smoothly. Here are key questions to ask the venue:
1. Availability and Capacity
- Find a venue – if you need help, there are specialist venue finders who can help.
- Is the venue available on the desired date?
- What is the venue’s maximum capacity? (Standing vs. seated)
- Is there a minimum or maximum booking time for the band?
2. Stage and Performance Area
- Is there a stage, and what are its dimensions?
- Does the venue have a dedicated area for the band to set up?
- Is the stage accessible for load-in and sound equipment setup?
3. Sound and Lighting Equipment
- Does the venue provide a sound system, microphones, monitors, or mixing boards?
- Is a sound engineer provided, or do we need to bring our own?
- What lighting equipment is available, and who controls it?
- Are there noise or sound level restrictions?

4. Power Supply and Technical Needs
- How many power outlets are available near the stage?
- What are the power ratings? Are they sufficient for the band’s equipment?
- Are there any specific electrical requirements or restrictions we need to know?
5. Load-In/Load-Out Logistics
- Where can the band load in/out equipment?
- What are the parking options for the band’s vehicles?
- What are the setup and tear-down time allowances?
6. Backstage and Amenities
- Is there a green room or dressing room for the band?
- Are food and drinks provided for the band and crew?
- Are there any restrictions on outside food and drinks?
7. Licensing and Permits
- Is the venue licensed for live music?
- Does the venue require the band to have insurance or performance licenses?
- Are there any noise curfews or local regulations affecting live performances?
8. Payment and Financials
- What is the booking fee or rental cost for the venue?
- How are ticket sales or covers handled? Does the venue take a percentage?
- Is there a deposit required? What’s the cancellation policy?
- Are there any additional fees for sound/lighting tech or security?
9. Promotion and Marketing
- Will the venue help promote the show? How do they market events?
- Will the band be allowed to bring in its own promotional materials (flyers, posters, etc.)?
- Can the band sell merchandise at the venue, and are there any fees or rules regarding this?
10. Audience and Event Restrictions
- Are there any age restrictions for attendees? (21+, all-ages, etc.)
- Are there any specific rules regarding setlists or content of the performance?
- Is there a required start and end time for the band’s set?
11. Security and Safety
- What security measures are in place?
- Who is responsible for crowd control?
- Are there any rules about pyrotechnics, confetti, or special effects?
These questions will help you ensure that both the band and the venue are aligned on expectations, and that your gig goes smoothly!
