After weeks and more likely months of planning, your event day has finally arrived. But even the most carefully crafted plans can fall apart without a clear, structured approach to managing the big day.

Pre-Event Day Essentials (Do These the Day Before)

  • Finalise the event schedule/run sheet with all key timings

  • Share the schedule with all suppliers, venue staff, and key team members

  • Print or digitally store key documents: contracts, contact lists, floorplans, guest lists

  • Reconfirm all suppliers (AV, catering, entertainment, transport, etc.)

  • Pack an event kit: tape, scissors, extension leads, batteries, phone charger, pens, safety pins

  • Prepare name badges, signage, giveaways, and registration materials

  • Double-check travel arrangements (including your own!) and arrival times

  • Have a clear contingency plan for weather or technical issues (especially for outdoor events)


🕘 Morning of the Event

  • Arrive early—before any suppliers or guests

  • Walk the venue and ensure all rooms/areas are clean, set up, and unlocked

  • Check signage is correctly positioned and visible

  • Brief all staff, volunteers, or event team on roles and expectations

  • Test all AV and technical equipment (mics, projectors, Wi-Fi, lighting, etc.)

  • Set up registration/check-in desk with name tags, guest lists, and materials

  • Ensure catering setup is on track (and meets dietary requirements)

  • Walk through the entire event flow as a guest—spot any weak points or confusion?


🎤 During the Event

  • Keep a printed or digital run sheet on hand at all times

  • Monitor the timeline and adjust where needed

  • Greet key guests or VIPs on arrival

  • Troubleshoot any supplier or tech issues calmly and discreetly

  • Regularly check in with venue staff, suppliers, and catering teams

  • Capture content for social media (or ensure your team is doing this)

  • Stay hydrated and fuelled—your energy sets the tone

  • Be visible, but not intrusive—guests should feel supported, not managed

  • Thank guests for attending (in person or digitally)

  • Oversee breakdown and pack-down with suppliers and venue

  • Review invoices and follow up on final payments if needed
