Left It Late to Book Your Christmas Party? There’s Still Time!
If you’ve been putting off organising this year’s office Christmas party, you’re certainly not alone. October is almost over, December is fast approaching, and suddenly someone in the office has asked the dreaded question: “Have we booked the Christmas party yet?” The good news is that it’s not too late. At Function Fixers, we’re still hearing from plenty of excellent venues with availability on some of the most sought-after dates in November and December. So, even if you’ve left things a little later than planned, there’s every chance we can help you find somewhere fantastic.
Don’t Assume All the Best Venues Have Gone
It’s easy to think that every decent Christmas party venue was snapped up months ago, particularly if you’re looking for a Thursday or Friday in December. And while some of the most popular venues are fully booked, others still have surprisingly good availability.
Plans change, companies reduce their guest numbers, provisional bookings fall through and venues release dates that were previously on hold. Some venues also have more than one event space, which means they can accommodate several different parties on the same evening. We work with hundreds of venues across London and the UK, and we’re regularly updated about dates that are still available. Quite often, we know about options that you simply wouldn’t come across by searching online.
Being a Little Flexible Can Make All the Difference
If you have your heart set on a particular date, we’ll do our best to find something suitable. But if you can be flexible by even a day or two, your options could increase considerably.
Thursday evenings are particularly popular for corporate Christmas parties, but Tuesdays and Wednesdays can be excellent alternatives. You may also find that venues are prepared to offer more attractive packages on less popular dates. If you can consider November, you can enjoy all the festive atmosphere, decorations and Christmas menus without competing for the busiest December dates.
Another possibility is a lunchtime celebration rather than an evening event. A festive lunch with drinks can be just as enjoyable as a traditional office party, and often works particularly well for smaller teams.
You Might Find a Better Deal Than You Expect
Booking late doesn’t automatically mean paying more. Venues naturally want to fill their remaining dates, and some may be willing to negotiate on minimum spends, room hire or package prices, particularly if the date is approaching quickly. That doesn’t mean every venue will offer a discount, but there may be opportunities to secure better value than you anticipated.
We can help you compare what’s included in different packages, too. A seemingly inexpensive Christmas party can become considerably more expensive once you’ve added drinks, entertainment, staffing and other extras. Sometimes a slightly higher-priced all-inclusive package represents much better value.
Think Beyond the Traditional Christmas Party
If the usual three-course dinner and disco doesn’t appeal, there are plenty of other ways to celebrate with your team. Private dining rooms are ideal for smaller groups who want a relaxed evening with good food and conversation. For something livelier, you could consider a cocktail party, a themed celebration, a karaoke venue or an activity-based event. Pitch City is the perfect venue for the latter and currently has good availability. For larger companies, exclusive-use venues offer the opportunity to create something more personal, particularly if you have your own ideas about entertainment, catering or decorations.
And if your budget is limited, a festive drinks reception with substantial canapés can be a very enjoyable alternative to a formal dinner. The important thing is to choose something that suits your team rather than feeling obliged to organise the same type of party every year.
How to Organise a Christmas Party Quickly
When time is short, the trick is to avoid spending days contacting individual venues, waiting for replies and trying to compare packages that all seem to include different things. Before you start, establish roughly how many people will be attending, your preferred date, your budget and the type of celebration you’re looking for. It’s also worth deciding whether your budget includes drinks and VAT, as these can make a significant difference to the final cost.
Once you’ve established those basics, the venue search becomes much easier.
This is where we can save you a considerable amount of time. At Function Fixers, we can contact suitable venues, check which dates are genuinely available, obtain current packages and prices, and put together a shortlist of options that match your requirements. We can also arrange viewings and help negotiate the best possible rates.
Because our venue-finding service is completely free, there’s no additional cost to your company for using us.
