Safe Event Planning in 2021
Whilst we are all really optimistic that business events will be back in 2021, there will undoubtedly still be a number of restrictions in place. These are likely to be not least social distancing and restrictions on numbers attending. Choosing a venue will require careful planning to be sure that the venue is large enough to accommodate your numbers allowing for social distancing and that it has clear rules that everyone attending must be willing to observe.
As we have seen for ourselves in the past few months, there are a few people who simply do not follow rules and show little respect for government guidance on how to control the coronavirus pandemic. When planning and event, how can you be sure that none of your delegates form part of this minority group? How can you enforce social distancing, mask wearing etc?
Most venues are following a responsible delegate policy which will rely on delegates, guests and team members to do their bit in ensuring the safety of all. Delegates will be given prior to and on arrival written instructions on respecting physical distancing protocols in the meeting room and social areas, including breakout areas. Meeting organisers will be asked to outline protocols for entering/leaving rooms, congregating at breaks and meals times, at the beginning of the meeting. Delegates will be asked to remain in allocated seats, all spaced 1m apart for the duration of the meeting/conference.

One company, Hoxton AI, has gone a step further with an AI powered people counting platform. This offers a flexible and affordable solution for all indoor spaces. It will help venues to save money on social distancing enforcement and will ensure full compliance with government regulations, therefore allowing venues to safely open all indoor spaces. Several venues have already installed this platform.
Bearing all of the above in mind, it certainly appears that business events should be able to run smoothly in 2021. Venues have gone to great lengths to ensure the safety of each and everyone attending an event, so planners can have peace of mind when organising an event.
