When Is the Best Time to Book a Christmas Party Venue?

You decide it’s time to organise the company Christmas party, send a few enquiries… and discover that your favourite venue has already been booked.

So, when is the best time to secure a Christmas party venue?

The short answer is as soon as you’ve confirmed your budget and preferred date. For many companies, that means booking between January and May for a party taking place in November or December.

If that sounds early, there’s a good reason.

Why Do Christmas Venues Book Up So Quickly?

Corporate Christmas parties are one of the busiest periods in the events calendar.

Unlike conferences, which can be held throughout the year, Christmas parties are concentrated into just a few weeks. Most companies want the same dates—typically Thursday and Friday evenings from late November through to mid-December.

That means hundreds of businesses are competing for the same venues.

The most popular venues often welcome returning clients every year, leaving fewer dates available for new enquiries.

A Typical Booking Timeline

Rather than thinking in months, here’s what usually happens throughout the year.

January to March

Many businesses book immediately after Christmas while feedback from the previous event is still fresh.

If you want exclusive use of a venue, this is one of the best times to start your search.

You’ll benefit from:

  • The widest choice of venues
  • Prime Thursday and Friday dates
  • More opportunities to negotiate
  • Plenty of time to plan entertainment and theming

April to June

This is often the sweet spot.

Most venues still have good availability, but Christmas packages have usually been finalised, making it easier to compare prices and inclusions.

If your company needs a venue for more than 200 guests, this is an ideal time to book.


July to September

Availability starts to become more limited.

Popular venues may already be fully booked on peak dates, particularly in London and other major cities.

You can still find excellent venues, but flexibility becomes increasingly important.


October onwards

By this stage you’re entering last-minute territory.

That doesn’t mean it’s impossible—far from it.

Generally speaking, the larger your event, the earlier you should start looking.

Larger events require fewer, more specialised venues, so availability disappears much faster.

Unique venues are usually booked well before traditional hotel function rooms.

  • A riverboat
  • An immersive experience
  • Exclusive venue hire

it’s worth beginning your search as early as possible.

These venues tend to have fewer event dates available and are often reserved by repeat corporate clients.
