There are still excellent London conference venues available for under £100 per delegate, particularly if you are flexible about location and date.
Moving away from Mayfair, Westminster and other premium central locations can make a substantial difference. Areas such as Stratford, Hammersmith, Canary Wharf and locations outside Zone 1 can offer excellent transport connections at more competitive rates.
How Much Do Regional UK Conference Venues Cost?
Outside London, conference organisers generally have considerably more buying power.
In cities such as Birmingham, Manchester, Leeds, Liverpool, Bristol and Glasgow, good conference venues can often be found at around £40-£90 per delegate.

However, that doesn’t necessarily mean your conference will cost £6,500. You may still need to budget for additional AV, staging, microphones, branding, speakers, entertainment or accommodation.
What About Room Hire?
Not every venue offers a DDR. Some conference venues charge a fixed room-hire fee, with catering and other services added separately. Smaller meeting and conference rooms may cost a few hundred pounds for the day, while larger city conference venues can run into several thousand pounds.

City-centre venues, particularly in London, generally cost more. However, don’t automatically choose the cheapest location. If delegates then have to spend considerably more on travel or accommodation, the overall event may not be cheaper.
Date
Tuesday, Wednesday and Thursday are popular conference days and can attract higher rates.
If your event can take place on a Monday, Friday or during a quieter period, venues may have greater flexibility on price.
Delegate Numbers

Being flexible is one of the best ways to save money.
If possible, give venues two or three potential dates rather than one fixed date. Consider different areas of a city and ask whether the venue has preferential rates during quieter periods.
Also look carefully at what you’re paying for. Don’t book a ballroom for 300 delegates when you only expect 180, and don’t pay for sophisticated production facilities if your event only needs a presentation screen and two microphones.
Most importantly, compare the total cost rather than the headline room-hire or delegate rate.
